Terms & Conditions / Hire Agreement

Welcome to Reclaimed Fire! Below are our Terms and Conditions for hire and catering services. Please read carefully before booking. By confirming your booking, you agree to the following terms:

General Hire Terms

- All equipment remains the property of Reclaimed Fire.
- Equipment must be used safely and for its intended purpose only.
- Hirers must be 18+ and accept full responsibility for equipment during the hire period.

Booking & Payment

- A non-refundable deposit (typically 25–50%) is required to confirm your booking.
- Final balances are due 7 days before your event unless otherwise agreed.
- Bookings are confirmed only once payment is received and acknowledged.

Delivery & Collection

- We deliver nationwide, and additional charges may apply depending on location.
- Delivery and collection times will be agreed in advance.
- Delays caused by lack of access may incur additional charges.BBQ equipment will be delivered clean, tested, and ready to use.

Cleaning & Equipment Return

- All hires include a cleaning kit (grill brush, degreaser, cloths).
- Equipment must be returned in the same clean condition it was delivered in.
- Excessive dirt or damage may incur a cleaning or repair fee.
- Don’t want to clean? A “dirty clean” option is available at an extra charge — please request this in advance.

Damage & Loss

- The hirer is responsible for any loss, theft, or damage during the hire period.
- Any damage must be reported immediately.
- Costs to repair or replace damaged equipment will be invoiced after the event.

Cancellations

- Deposits are non-refundable.
- Cancellations less than 7 days before the event may be charged in full.
- We’ll always do our best to reschedule or accommodate changes where possible.

Weather Policy

- We operate outdoors in most weather conditions.
- If extreme weather prevents safe setup or cooking, we’ll work with you to find the best solution — this may include rescheduling, moving to cover, or partial refunds at our discretion.

Catering Services

- All catering packages are subject to availability.
- Menus are flexible and can be adapted to dietary needs with prior notice.
- Final guest numbers and dietary requirements must be confirmed at least 7 days before the event.
- We operate to strict hygiene and food safety standards and hold appropriate certifications.

Drinks Packages

- We can assist with drinks packages upon request.
- Licensing may apply for alcohol sales or bar services — we’ll advise on this as needed.

Fire Cages & Custom Designs

- Our fire cages are not for sale.
- We may offer bespoke fabrication at an additional cost, but Reclaimed Fire retains exclusivity over this design and use.

Insurance & Liability

- Reclaimed Fire holds public liability insurance.
- We are not responsible for injuries or damage caused by misuse of equipment or by guests.
- It is the hirer’s responsibility to ensure a safe, suitable space for setup.

Client Responsibilities

- Ensure access for delivery and collection.
- Provide suitable space (flat, outdoor, well-ventilated).
- Adhere to all safety guidance provided by Reclaimed Fire staff.
- Obtain necessary permissions if hosting in public spaces or venues.
